Who we are

HostList (ABN 45 228 790 203) is based in Victoria, Australia. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth). Contact us at support@hostlist.app.

Information we collect

• Hosts: your email address and sign-in details, and the events you create.
• Guests and contacts added by hosts: names, preferred names, household details, phone numbers used for WhatsApp, optional email addresses, guest counts, dietary preferences, allergies and notes.
• RSVP replies: responses guests submit through their personal invitation link, and whether a link has been viewed.
• Invitation media: images or videos hosts upload for their invitations.
• Technical data: limited request information, such as IP addresses, used to prevent abuse.

How we use it

We use this information only to run HostList: managing guest lists, showing RSVP pages, calculating headcounts and dietary totals, flagging allergies for hosts, and protecting the service. Dietary and allergy details may be sensitive, so they are shown only to the host of the event and to the guest through their own invitation link.

Messaging

Invitations are sent by hosts through their own WhatsApp app. HostList prepares the message and link but does not send WhatsApp messages on your behalf or access your WhatsApp conversations. WhatsApp's own privacy terms apply to messages you send.

Storage and protection

Data is stored with our cloud infrastructure provider, Supabase, which may host data outside Australia. Host data is restricted to the account that owns it, guests access only their own invitation through an unguessable link, and invitation media is kept private and shared through short-lived links.

Sharing

We do not sell personal information. We share it only with service providers needed to operate HostList, or where required by law.

Your rights

You may ask to access, correct or delete your personal information. Hosts can edit or delete contacts and events in the app. Guests can update their RSVP details through their invitation link, or ask the host or us to remove their information. Email support@hostlist.app and we will respond within a reasonable time.

Complaints

If you have a privacy concern, contact us first. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (oaic.gov.au).

Changes

We may update this policy and will show the new date at the top of this page.
